These terms apply when you use tripkathmandu.com, send a booking request, book a flight, or pay a deposit, ticket or invoice through it. Please read them with our Refund & cancellation policy and Privacy policy.
1. Who we are
TripKathmandu is operated by TripKathmandu Pvt. Ltd., registered in Nepal (registration no. 83/84-15-102406670, PAN 879457267), Godawari-11 Lalitpur Nepal. We plan and coordinate trips, treks, tours and domestic flights in Nepal, and connect travelers with trusted, government-licensed local partners.
The local partner named in your confirmation (for example Sunshine Travel Agency Pvt. Ltd.) provides the trip or books the flight, and is the business that receives your payment. Its name may appear on your card statement.
2. Booking requests and confirmation
- Instant confirmation: some trips are confirmed straight away, once the deposit is paid.
- On request: other trips are confirmed when the local partner accepts your request and, where needed, sends you a price (quote) to accept.
- A booking is confirmed only when you receive a written confirmation by email.
- Please check your names, dates and contact details. Names must match your passport for flights and permits.
3. Prices
- Trip prices are shown per person in US dollars (USD), unless stated otherwise. The final price is confirmed before you pay.
- Domestic flight fares depend on nationality: foreign nationals pay fares set in USD by the airlines; Nepali and Indian citizens pay rupee (NPR) fares. Fares shown on the site are typical prices; the exact fare is confirmed before you pay.
- Prices include what is listed as included on each trip page or quote, and exclude what is listed as excluded.
4. Payments
- What you may pay online: a trip deposit, a domestic flight ticket, or an invoice we send you for services you have agreed with us.
- How: by Visa or Mastercard on Himalayan Bank's secure payment page, with your bank's 3-D Secure verification, or by bank transfer where offered. Card payments are charged in the currency shown (USD or NPR) and received by the local partner named on the payment page.
- Booking & processing fee: a booking & processing fee of [4]% is added to online payments, by card or bank transfer. It is always shown before you pay.
- Your card details are entered only on the bank's page. TripKathmandu and our partners never see or store them.
- Your own bank may charge currency conversion or foreign transaction fees; these are outside our control.
- Balance: for trips with a deposit, the remaining balance is paid to the local partner as stated in your confirmation.
5. Domestic flights
- You send a flight request; our local partner offers flight options and confirms the live fare. A ticket is issued after you choose an option and pay (or as agreed for pay-later bookings).
- Tickets are subject to the airline's own fare rules, including changes, cancellations and refunds.
- Mountain flights (for example to Lukla or Jomsom) often depend on the weather and can be delayed or cancelled by the airline. In busy seasons, Lukla flights may depart from Ramechhap (Manthali), a drive of 4 to 5 hours from Kathmandu. Please allow spare days in your plans.
6. Invoices
For tailor-made trips, extras or other agreed services, we may send you an invoice with a private payment link. An invoice can be paid until the date shown on it. After that the link stops working, and we can send you a new one.
7. Changes and cancellations
If your plans change, contact us as early as possible. What can be refunded depends on the service and how close to the date you cancel. See our Refund & cancellation policy.
8. Your responsibilities
- Valid passport, visa and any permits needed for your trip.
- Travel insurance covering your activities, including trekking at altitude and helicopter evacuation where relevant.
- Being fit for your chosen trip, and telling us about any medical condition that may affect it.
- Following the guidance of your guide and local partner, especially at altitude and in the mountains.
9. Responsibility and events outside our control
The local partner is responsible for delivering the services you booked. TripKathmandu coordinates your booking and supports you before and during your trip. Neither TripKathmandu nor our partners are responsible for delays, changes or cancellations caused by events outside reasonable control, such as weather, natural disasters, strikes, road or airport closures, or government decisions. In such cases we will help you find alternatives.
10. Problems and payment disputes
If something goes wrong, please contact us first at hello@tripkathmandu.com, quoting your booking or invoice reference. Most issues can be solved quickly this way, and a refund we arrange reaches you faster than a dispute through your bank.
11. Governing law
These terms are governed by the laws of Nepal. Any dispute that cannot be settled between us will be handled by the courts of Kathmandu, Nepal.
12. Changes to these terms
We may update these terms. The version that applies to your booking is the one published on the date you booked or paid.
